How AI Billback handles accounts, cost data, and billing. Architecture facts follow the policy so you can see what the product actually does.

What this page is
This is the customer privacy policy for the current AI Billback product. It describes how information is handled in the software as built. It is not a certification, a data processing agreement, or a guarantee under GDPR or any other privacy law.

What AI Billback stores
When you create an account, Clerk stores your sign-in identity. AI Billback may store your email when Clerk provides it, so the workspace and billing can reach you. After you explicitly save an AI Cost Review, Neon PostgreSQL stores normalized cost rows (date, provider, description, amount, currency, reporting period, and optional client assignment), client names you enter, and related workspace records such as saved attribution rules. Stripe stores Pro billing records. Founder product events may record that a report or statement was viewed or printed, without cost amounts or client names.

What is not stored
Raw CSV files, pasted exports, and original filenames are not uploaded to object storage and are not saved in the database. Provider API keys are not collected. Bank credentials and accounting-system credentials are not collected. Payment card details are handled by Stripe, not stored in AI Billback.

Browser-side processing
Raw CSV files are parsed in the browser and are not uploaded as files. When you save a review, AI Billback stores the normalized cost records required for attribution and reporting. AI Billback does not require your AI provider API keys.

Workspace deletion
You can permanently delete saved workspace data from Workspace settings. If you have an active, canceling, or payment-issue Pro subscription, it is canceled immediately first. Stripe keeps its own billing history. Your Clerk sign-in, trial window, and founding-offer eligibility stay with your account.

Processors
Clerk authenticates users. Stripe bills Pro subscriptions and may receive workspace and account identifiers and email when available — not cost amounts, client names, or cost descriptions. Neon hosts the application database. Google Analytics (GA4) may load on public marketing pages only, not on /app, /admin, or sign-in. Sentry is used for error monitoring and tracing, not session replay.

How the product is built

No provider credentials
The current product does not require an OpenAI, Anthropic, or other provider admin API key.

No bank or accounting connection
There is no Plaid, bank feed, QuickBooks, or Xero integration.

No code changes
AI Billback does not sit in your application runtime or proxy LLM traffic.

Normalized rows only
When you intentionally save a workspace, only normalized cost information is stored — not the original file.
